Free Commercial HVAC Site Survey Checklist: What to Capture Before PM Planning or a Proposal

A useful commercial HVAC site survey is more than a list of model and serial numbers. The goal is to create a baseline that separates what was actually observed from what still needs verification, so later maintenance planning and proposal work are not built on memory or assumption.
Site-level information
Capture a stable Site ID, client/account, site name, street address, city/state, primary contact, survey date and surveyor, building/use type, operating hours, access owner/contact, roof or equipment access method, known constraints or hazards, and notes. If access or a condition is unknown, mark it for verification instead of filling the gap from a prior visit.
Asset-level information
Give each physical unit a stable Asset ID tied to the Site ID. Record location/tag, equipment type, manufacturer, model, serial, install year when known, refrigerant or fuel, nameplate capacity/size, voltage, phase, served zone, observed condition, criticality, and warranty status. Read nameplates rather than guessing equipment data.
Access and risk information
For each relevant area or asset, record access type and owner, whether a ladder or lift is required, roof access, applicable fall-protection/site procedures, electrical or other hazards, property below or containment concerns, customer constraints, and anything that must be resolved before work. This record is not a substitute for the employer/site safety process or authorization to perform work.
The rule that prevents bad records
Keep UNKNOWN, UNASSESSED, and VERIFY states visible. A blank or explicit verification state is safer and more useful than a confident-looking field populated from memory. Build PM baselines only from approved contract, site, OEM, or other verified sources, and move only verified facts into proposal inputs for human review.
