Free HVAC One-Job Margin Check: Test a Flat-Rate Price Before You Publish It

Before you publish a flat-rate HVAC service price, you can do a quick one-job gross-margin check with four company assumptions and three job inputs. This is a planning check—not accounting, tax, estimating, OEM, or pricing authority—and it only works if the inputs you supply are accurate.

1. Enter your company economics

Use your own loaded labor cost per hour, overhead recovery per billable hour, target gross margin, and any minimum service-price floor. These are company-specific inputs; the example below is not a recommendation for your business.

2. Enter the job inputs

For the service you want to check, estimate labor hours, material cost, other direct cost, and the price you are considering publishing.

3. Calculate modeled cost

Loaded labor cost = labor hours × loaded labor cost per hour. Modeled total cost = loaded labor cost + material cost + other direct cost + (labor hours × overhead recovery per billable hour).

4. Calculate the target-margin sell price

Target-margin sell price = modeled total cost ÷ (1 − target gross margin). If you use a minimum service-price floor, compare the result with that floor and use the higher figure for this planning check.

Worked example

Example assumptions only: $45 loaded labor cost/hr, $40 overhead recovery/billable hr, 50% target gross margin, $79 minimum service price, 1.5 labor hours, $35 materials, and $5 other direct cost. Loaded labor is $67.50. Modeled total cost is $167.50. The target-margin sell price is $335. If the proposed published price were $300, modeled gross profit would be $132.50 and modeled gross margin would be about 44.2%, which is below the example 50% target.

What this check catches—and what it does not

This quick check can surface a mismatch between a proposed price and the economics you entered. It does not tell you what you should charge. Verify labor burden, overhead treatment, supplier costs, discounts, taxes, warranty exposure, callbacks, market conditions, and your own accounting assumptions before making a pricing decision.
